Enrollment Procedure

The enrollment must be completed in accordance with the following procedure:

  1. Application Submission: The student, who must be at least 18 years old, or the legal guardian of students aged 13+ (for summer programs or private classes), must complete the reservation and enrollment form and submit it via email to: hola@guayspanishschool.com.

  2. Pre-Confirmation: Within two working days of receiving the application, the school will pre-confirm the reservation via email. This confirmation will include an assigned reference number, a detailed list of contracted services, the total price, and instructions for securing the reservation. To finalize the booking, a 50% deposit of the total course fee must be transferred to the school’s specified bank account. The student’s name and reference number must be included as the payment reference. This deposit will be deducted from the total fee and does not incur additional costs.

  3. Final Payment: The remaining balance must be paid in full (in EUR) no later than two weeks before the course/program/service start date. Failure to pay may result in reservation cancellation upon arrival.

Key Policies

  • Bank Charges: All transaction fees are the student’s responsibility. The school reserves the right to charge any bank fees incurred during payment processing.

  • Price Guarantee: Final prices are as stated in the pre-confirmation email. The school may adjust services, dates, or prices if necessary, notifying students promptly. Deposits will be refunded if changes are unacceptable.

  • Course Cancellation: Courses with fewer than 3 students 10 days prior to the start date may be canceled, with full refunds issued. For courses with 3 students, total lessons may be reduced by 25% (students will be notified).

  • Media Consent: The school may use photos/videos taken during the student’s stay unless the student objects upon arrival.

  • Data Protection: Personal data is stored per Spanish Data Protection Law 15/1999 and used solely for internal/commercial purposes.

Discounts & Offers
Discounts/promotions are non-cumulative, time-limited, and applicable only at the time of enrollment. Pre-existing reservations cannot be modified to include new offers.

Payment Methods

  • Bank transfer (mandatory for reservations).

  • Credit/debit cards accepted only for students in Murcia.

  • Cash (€500 notes not accepted) or bank checks.

Modification & Cancellation Policy

  • Cancellation requests must be emailed to hola@guayspanishschool.com using the original reservation email, with “CANCELLATION” or “MODIFICATION” in the subject line, along with the student’s name and reference number.

    • >30 days before start: Full refund (minus bank fees + €50 admin fee).

    • 21–30 days before: 50% deposit forfeited.

    • 10–20 days before: 70% deposit forfeited.

    • <10 days or after start: No refund.

  • Visa Denials: Full refund (minus €150 admin fee) upon submission of official denial letter.

  • Private Classes: Cancellation/rescheduling requires 5 working days’ notice. 8-hour class bundles allow one schedule change.

School Access & Arrival
Students must notify the school of their arrival details (flight/train/bus) 7 days in advance. An emergency contact number will be provided.

Holidays & Closures
The school closes on regional/national holidays, including:

  • March 19 (St. Joseph), May 1 (Worker’s Day), June 9 (Murcia Day), September 12 (Pilgrimage Day), October 12 (Hispanic Day), November 1 (All Saints’), December 6/8 (Constitution/Immaculate Conception).

  • Holiday periods: Christmas (local school break), Holy Week, Spring Festivals (post-Easter week), Summer (July 31–August 31).

  • Full weekly fees apply regardless of closures.

Accommodation

  • Available only for intensive courses (10+ hours/week, 4+ weeks).

  • Booking: Reserved by the school; payment made directly to the provider. Early booking (4+ weeks prior) recommended.

  • Stay Period: Starts Sunday 12:00 before the course; ends Saturday 13:00 after the course. Extra nights require prior approval.

  • High Season Surcharge: €150/week for stays during Easter, Spring Festivals, or early September (under 12 weeks).

  • Rules: Lease agreement + security deposit (or credit card details) required. Students are liable for damages/key loss (€40 fee). Misconduct may lead to expulsion without refund.

Insurance
Non-EU students must have insurance covering incidents during their stay. The school is not liable for accidents, losses, or damages.

Legal Compliance

  • Students must possess valid documentation to reside/study in Spain.

  • Legal disputes fall under Spanish jurisdiction.

Acceptance of Terms
Enrollment confirms acceptance of all policies without requiring a signature.
